Delegate Bag Inserts

If you have a delegate bag insert included in your sponsorship package, the deadline for delivery of your inserts to Hotel Bonaventure is Friday 20 September 2024. Please ensure you have “Deep Mining 2024 Delegate Bag Inserts” written on the delivery label. The quantity of inserts to send will be up to 300 units. A sample or description of the insert is required by the ACG no later than 30 August 2024.

*A delegate bag insert is not an automatic entitlement for exhibitors. If unsure, please check your entitlements with the ACG. Email events-acg@uwa.edu.au.

Booth Information

Included in the cost of exhibiting is one standard single exhibition booth (see image below), unless other arrangements have been agreed upon. Specifications are as follows:

  • Modular booth 2.4m x 3m includes:

    – 3 panels 2.4m high (backwall)

    – 3 panels 2.4m high (sidewalls)

  • Header with company name (white background, black lettering)

  • Wastebasket

  • Track with 2 lights

  • Outlet 1500w

Our exhibition hire company has a wide range of booth furniture and display items for hire.

To Order: Computer and AV equipment – TV monitors, printers, laptops for hire via Encore AV (Hotel Bonaventure)

If you require computer and audiovisual equipment such as TV monitors and stands, printers or laptops these items can be rented via the Bonaventure Hotel AV provider – Encore, via their order form mailed directly to them using the email address provided on the form.

When using their order form just add in the quantity of the item you require and the form calculates the cost automatically for the three day conference.

Please note: The ACG takes no responsibility for lost, stolen or damaged exhibition booth items. Security of exhibition booth items is the responsibility of the exhibitor. Any agreements for furniture hire including custom booths are between the exhibition supplier and the exhibitor and do not involve the ACG. View sponsor terms and conditions.

If required, the hotel can provide a dressed trestle table and two chairs. Please advise the ACG if you require these items by Friday 20 September 2024.

Ordering Signage

GES provide discounts on signage if ordered early:

  • Tier 1: – Graphics approved at least 30 days from GES move-in are discounted 25% from the standard pricing. (this would be 25/8/2024)
  • Tier 2: – Graphics approved between 29 days from GES move-in and 8 days from move-in are at the standard. (after 25/08/2024 and up to 16/9/2024)
  • Tier 3: – Graphics approved after 7 days prior to GES move-in are charged with a 20% surcharge. (from 17/9/2024)
  • Tier 4: – Graphics ordered and/or approved onsite are charge with a 50% surcharge.

Display Materials

All display materials must be flameproof and are subject to inspection. Exhibition/display areas must be sited to allow access to emergency exits and firefighting equipment. No attachments are to be made to the flooring, ceilings, internal walls or furnishings of the hotel. It is the responsibility of the exhibitor to return the area to its original condition.

Customs Information

This event has been registered with the Canada Border Services Agency. Please read through this letter, and print a copy to take with you in case it is required.

If you are shipping items internationally for the event, your items will require customs clearance. Please contact Diane at ConsultExpo: dianel@consultexpoinc.com with completed forms, available here.

Electrical

All electrical equipment brought into the hotel must be tested and tagged by a registered electrician. This includes extension leads, power boards and double adaptors.

While the exhibitors must bring in their own extension cords, power bars, etc., should they need to increase the power strength over 20 AMP, they would need to send in a request through the hotel at least a month in advance. Those requests will entail additional costs.

Deliveries

If you are arranging your own freight transport, please ensure that your consignment is labelled correctly. Please use the delivery label.

Loading Dock
  • Access Place Bonaventure ramp via Montfort Street. See map.
  • At the end of the ramp, there is the loading dock. Park in front of the elevator, which is spot #1.
  • The hotel elevator is #4.
  • Once in elevator, press FN/9 to get to the hotel.
  • When exiting the elevator, the ballroom if located on your right.
  • Please note, you cannot leave the truck at the loading dock. It will need to be parked in the parking lot, details below.

Booth materials may be delivered from Friday 20 September 2024. All deliveries must come through the loading dock. Exhibitors must work with hotel staff to transport items to the exhibition floor/storage area. Any booth items which are large or unusual may need prior approval from the venue. Please contact ACG.

Display Item Restrictions

Please note the goods lift can take items with maximum dimensions of  5′ or 1,524mm (w) and 7′.9 or 2,407 mm (h). Weight of items can be a total maximum of 7,000 pounds or 3,175 kg.

Storage Conditions

Goods may be delivered on Friday 20 September 2024.
Goods must be collected no later than 24 hours after the event has concluded. Any items stored for longer than this, or are of a larger size may be subject to a storage fee.

Overseas Exhibitors

If you require a longer storage period prior to or post event due to overseas shipping and/or customs clearance, please advise if this is a requirement and the ACG can liaise with the hotel.

Attendee Registration

Please check your sponsor entitlements to ascertain whether complimentary registrations are included and if so, how many and what type. Please check with the ACG if you are unsure.

Please register your attendees by 30 August 2024 by clicking the button below.

It is strongly recommended that event participants apply for their visas at least 12 weeks in advance of their travel. It is important to note that most visa-required participants may need to provide their biometrics. Biometrics can only be provided in person at a biometric collection site, and visa processing does not begin until biometrics are on file.
